The American Census Management system allows you to build the Care Receiver database, track A/D/T’s, and produce a multitude of reports and listings. The American Census module accommodates multiple institutions, Financial Insurances, and Levels of Care quickly, easily, and accurately. Highlights include the following:

 
  • You create your own masterfile coding structure, so all of the codes you use are meaningful to you and to your organization. Interactive search capabilities are used everywhere throughout the system, so if you don’t remember a code, you can find it whenever you need it, without having to leave the screen you’re on.
  • Resident records can be accessed by Identification Number, by Name, by Location, or other attributes, appropriate to the screen or function you are running. Resident information can be looked up or modified with minimal effort by authorized staff from computers located anywhere in the facility. Related facility areas (dietary, housekeeping, pharmacy, etc.) are always up to date on the latest admissions, transfers and discharges.
  • Inquiry features allow for instantaneous display of up-to-date Resident data.
  • Track location and status, all the while sharing this valuable information with all of our clinical and financial sub-systems, eliminating redundant data entry.
  • Enter information on potential admissions as inquiries about your facility are made. This information is maintained in our “waiting list”, which allows you to search for a best match as beds become available. We won’t let you waste any time—if the person is
    admitted, all waiting list information is brought forward automatically.
  • All Administrative, Clinical, Financial, and Geographic information is maintained, tracked, and shared with all other American modules automatically.
  • Our unique “Problem List” encompasses the total Care Receiver, including categories for Diagnoses, Allergies, Surgical Procedures, Therapies, and MDS-related. Resolve/ Reactivate a problem, combine it with another problem, view history, and enter Progress Notes. You can even prioritize diagnoses for clinical purposes differently than for billing/financial purposes.
  • Annual comprehensive update of all ICD-9 codes on CD-ROM is standard.
  • Medicare A MDS Assessment information is automatically sent from Clinical to the Census/Billing system, including the RUGS score, Assessment Effective Date, Assessment Reason/Modifier, and Benefit Period Start/End dates.

  • Unique Payor List setup allows you to define all payors for a Care Receiver with appropriate benefit periods, so that payors are billed automatically at the appropriate time.
  • Missing Billing Information reports are standard, alerting you to any information lacking before it becomes an issue.
  • Charges are generated by our Room and Board processing, uploads from outside vendors, and from our unique clinical “actions”, where you can setup ongoing events such as therapy sessions (on the clinical system), and as the events are done, they are updated into the billing system, eliminating redundant keypunching. Manual entry of charges is also always
    an option if you wish.
  • Monthly patient day proofs and billing statistics are available as reports and inquiry screens, so you always have an up-to-date picture of billable days and charges.
  • Bill payors at the same time for primary and coinsurance charges, or bill coinsurance as step-down, where coinsurance is automatically billed after the primary charges are paid (no input or tickler files are necessary from an operational standpoint, the system simply flags the coinsurance to bill once payment is received).
  • Medicare A (including No-Pay and On-Demand bills), Medicare B, HCFA-1500, Managed Care, Private Insurances are all standard features of the billing system, including electronic billing to these payors.
  • Our business partnership with ACOM forms allows you to print any standard bill form (UB92, HCFA-1500, etc.) using plain paper and any laser printer, translating into no forms alignment, no printer jams, just easy printing of paper bills when you need them.
  • User-defined billing cycles allow you to flexibly bill daily, weekly, monthly, etc., as allowed by the various payors you’ve setup.
  • Retroactive changes in financial coverage automatically prompt you to rebill charges appropriately. Retroactive rate changes are processed automatically via adjustments made to accounts receivable, or can be processed as a re-bill.
  • Bills can be reprinted anytime, and electronic submission files can be reproduced for any prior billing period.
  • Billing Edit History, down to line item details, and rebill history inquiry screens are standard.
  • Other standard billing reports include charge/allowance journals, income journals, Medicare Assessment Window reports, Private-Advance memorandum billing, and pending charges.

  American's Accounts Receivable system is a fully detailed, open-item system.
  • Billing is automatically updated to A/R on your command, letting you control when you’re satisfied with your bill run and updating when you want to.
  • You have complete control over how payments are applied to invoices. Automatic distribution by 'FIFO' (First in-First out), 'LIFO' (Last in-First out), by Invoice number, etc. In addition, this can be controlled by Payor, even down to specific line items on the bill.
  • Automatic write-off of certain accounts based on small balance amounts in certain aging categories, specific financial classes.
  • Use our A/R Inquiry screens to view summary of balances due by payor, then drill down level by level to find more details on any bill as you need them, right down to the item level.

Resolve an item on the list, and reactivate if it comes back. Problems on the list can be prioritized differently for both clinical and financial applications, allowing maximum flexibility.

  • Setup automatic notification of significant events to any users of the system. For example, send messages automatically when new admission is complete, physician orders updated, MDS completed, etc.
  • Target Residents at risk for weight loss using our comprehensive Weight Change Inquiry screen. This screen allows you to find those Residents who meet the criteria you define over any period of time (example, those who have had more than a 3% change in body weight in the last month).
  • Use American’s unique Actions to setup regularly occurring activities and events, such as therapy sessions, Care Giver appointments, and other interventions. Once Actions are defined, tell the system when they happened, and update the MDS and/or Billing whenever appropriate. Physician’s Orders

This module provides for entry of all scheduled/emergency, routine/prn orders, activities, consultations, laboratory tests, diets, reviews, services, medications, etc. for every Resident. Recurring and specific schedules of administration (date and time) are entered; follow-up dates are automatically tracked and reported in advance of discontinue/review dates. These orders automatically generate the schedule of services/activities to be administered to every Resident, and are automatically printed by the system in the required formats at the required times.

Assignment/Flow Charting Sheets

The system automatically produces an administration/charting form with an abstract of the Resident's medical record. Medications, treatments, therapies, care plan, and restorative procedures are all controlled by a preprinted form noting administration dates, time, special instructions, and notes. Automatic reminder notices (e.g. take pulse/blood pressure before administering certain drugs) are also included.
  • Data is entered once to produce all forms and reports.
  • Produces legible, easy to read forms.
