Webinar Training
A Win - Win Training Solution – Immediate Return on Investment
American Health Care is pleased to announce that we now provide in-depth training and services via the Internet. This is a very affordable solution for staff development and return on investment in your automation investment.
We have found that short webinar training, comprised of 1 to 2 hour blocks, over several sessions, on specific application areas, results in better utilization of the application and an immediate return on the investment in workflow and volume. These training sessions are tailored for your organization to either refresh existing staff understanding, or to promote new personnel understanding . To date, the resounding message after conducting these sessions from facility staff, is that personnel learned something could be done using the application that they have been doing by hand. By involving other departments in the sessions, workload was saved for auxiliary departments which had never had training on the use of the system.
Studies for software application usage have indicated that the majority of applications are under utilized due to a lack of training and understanding of the software functionality and options. In many cases, when positions change the training provided to new personnel is conducted by the person exiting the position, based on their established routines and workflow process. Training onsite, requires personnel to have large blocks of time in their fast paced work environment set aside, and to absorb and retain a large volumes of instruction and information. Referral and Census | |
The Census module acts as the foundation for the Harmony Health Care Management System. Through this module, ADT (Admission/Discharge/Transfer) information is entered once to a relational database. This training session will cover the basics of referral management, entering admissions (administrative, financial and clinical) and maintaining Care Receiver information on a day-to-day basis, such as:

MDS and Care Planning | |
The MDS and Care Planning module is an important component of the clinical record. It not only serves to document the clinical care provided to the Care Receiver, but it also has a direct impact on Medicare billing. The MDS and Care Planning training session will cover the basics of entering a MDS, scheduling and transmitting MDS information to the state and completing comprehensive Care Plans that adequately addresses the Care Receiver’s clinical needs. Users will also learn how to complete the Resident Census/Roster Process.

Electronic Medical Record | |
The philosophy behind the Electronic Clinical Record (ECR) is that each Care Receiver is the hub of all the activities that go on around him or her. When the ECR is updated, the System updates other parts of the System appropriately. There are many components to the ECR that, when combined, give you a complete picture of each Care Receiver. We employ a “fill-in-the-blank” methodology, so that the System literally prompts you through the screens you’ll need to access to get your job done. American ECR allows you to take advantage of expanded functionality beyond MDS and Care Plan entry. Using this System, you can enter information including:

User-Defined Assessment | |
American’s User Defined Assessment System allows you to define your own assessment forms, record the answers for those forms and link appropriate answers to the MDS. Reports may be created to accumulate answers from several assessments to give summary information on Care Receivers. This System will allow you to build forms that are not clinically related and a scheduling capability is available for assessments that should be completed on a regular basis. |

Physician Orders | |
The Physician Order System is designed to record standing orders and individual Care Receiver orders. The System produces MARs and TARs and users can enter new orders, track and electronically sign orders, print orders and run reports. The System is designed to work with an in-screen, user alert System that will notify staff when new orders are entered or modified for a Care Receiver automatically.

The New York PRI (RUGS) System is designed to prepare the submission and reports in accordance with NYQAS standards.

Billing and Accounts Receivable – Set Up – Session 1 | |
One of the most important areas to be considered in Billing is the set up and organization of the master files. This is a critical component and the person(s) responsible should have a thorough understanding of Payors, the items being billed and the relationship between both. This training is designed for the personnel responsible for set-up of additional Payors, changes to existing billing practices and other areas that have a direct impact on the billing System. |

The Resident Trust System is a banking System geared to address the personal and regulatory requirements of Care Receivers. The Resident Trust System interfaces to the Billing System for payment of Private amounts or, if preferred, the Billing System can import to Resident Trust just the personal needs spending amount. Interest is distributed either based on the total amount earned or through a percentage applied and quarterly statements produced for mailing to Care Receivers or their responsible party. General Ledger | |
What makes the Harmony System unique is that fact that other modules feed to the General Ledger. Personnel overseeing General Ledger need to be knowledgeable of the other department activities so they can make sure that the subsidiary ledgers of Accounts Payable, Billing, Accounts Receivable, Payroll and Resident Trust feed to General Ledger in an accurate and timely manner. Purchasing and Inventory | |
The Purchasing and Inventory Systems are integrated to assist facilities in maintaining proper supply levels as well as assist in cost containment. The training session will focus on creating requisitions, purchase orders and managing inventory. Three way matching from Purchase Order to Inventory Receipt to Accounts Payable helps to verify that what you receive is what you pay for. The session will also cover the various reports that are available as well as the procedures for posting to General Ledger.

Fixed Assets | |
The Fixed Asset System allows users to select from various depreciation methods including Straight Line, Reducing Balance and Modified Accelerated Cost Recovery System (MACRS). Users can select a depreciation method for updating internal books while using a different depreciation method for IRS tax reporting purposes.

Staff Scheduling and Time & Attendance | |
The Staff Scheduling and Time and Attendance Systems are valuable tools allowing the facility to not only schedule employees, but also compare the employee punches to the schedules created. It flags anyone who works possible overtime, employees who clock in/out both early or late and allows for the authorization of overtime before hours are updated to the Payroll System.

Payroll | |
The American Payroll System takes the punches from a time clock (or hand entered) and produces the necessary reports for payroll verification. Once the time has been verified and approved, the processing of payroll will take place including the creation of the direct deposit file along with the update to General Ledger. Utilizing the Payroll System efficiently assists in cost control making sure that overtime is approved in advance (if necessary), and that sick and vacation time are authorized and available. The training session will cover the concept of AHCSAVE and how to use this utility effectively to produce weekly, monthly, and quarterly saves.
